Refund & Cancellation Policy

Nexiva AI is committed to delivering high-quality services that meet the agreed scope and standards. This policy outlines our terms for refunds, cancellations, and dispute resolution. We aim to be fair and transparent in all such matters.

1. Discovery Call & Assessment

Our initial discovery calls and automation assessments are provided free of charge. There is no payment required for the discovery phase, and therefore no refund applies.

2. Project Cancellation by Client

  • Cancellation before project kickoff: Full refund of any upfront payment, minus a ₹2,000 administrative processing fee.
  • Cancellation within 7 days of kickoff: 75% refund of the upfront payment if work has not substantially commenced.
  • Cancellation after 7 days of kickoff: Refund calculated based on work completed to date. Completed deliverables are billable at their pro-rated value.
  • Cancellation after 50% project completion: No refund. All completed work will be delivered to the client.
  • All cancellation requests must be submitted in writing to contact@nexiva.dev.

3. Satisfaction Guarantee

We offer a 7-day satisfaction review period after project delivery. If you are not satisfied with the delivered work, notify us in writing within 7 days of delivery. We will make reasonable revisions at no additional cost. If revisions do not meet the agreed scope after two revision cycles, we will discuss a fair resolution, which may include partial refund.

4. Project Cancellation by Nexiva AI

If Nexiva AI must cancel a project due to unforeseen circumstances (force majeure, key personnel unavailability, etc.), we will provide a full refund for incomplete deliverables and deliver all work completed to date. We will give a minimum 7-day notice where possible.

5. Managed Support Retainers

  • Monthly retainers may be cancelled with 30 days written notice.
  • No refund for the current month's retainer fee on cancellation.
  • Refund applies only to pre-paid months beyond the 30-day notice period.
  • Outstanding support tickets will be resolved within the notice period.

6. Non-Refundable Items

  • Third-party tool licenses or subscriptions purchased on your behalf
  • Custom training data preparation and knowledge base ingestion costs
  • Domain registration or hosting costs incurred for your project
  • Work completed and delivered per the agreed scope of work

7. Dispute Resolution

We prefer to resolve disputes amicably. If you have a concern, contact us at contact@nexiva.dev and we will respond within 48 hours. If we cannot resolve the dispute directly, both parties agree to attempt mediation before pursuing legal remedies. Indian law governs all disputes.

8. Refund Processing

Approved refunds will be processed within 10 business days to the original payment method. Processing times may vary depending on your bank or payment provider.
